Our Base Services Include:

Mileage Reporting: We utilize a custom system approved by state agencies and designed from over 20 years of experience with the states and their standards. This system is based on the minimum allowable miles a state requires for reporting. Additionally, you can choose to utilize your own trip sheets or we can provide a sample sheet that is driver friendly, which makes it easier to receive driver compliance and satisfaction.

Satellite Tracking & GPS Reporting: Our ability to interface with all major satellite tracking systems creates a paperless method of reporting, saving clients time and money.

Tax Reporting: Road Manager will file your fuel and mileage tax reports both monthly and quarterly. We can send the forms in for you or mail them to you for handling. Either way, you will have the peace of mind that they are filled out completely and correctly by our experienced staff.

Legalization & Permitting: Handling the paperwork for all permits and licenses is also included, as well as all renewals and supplements.

Host Audits: We handle all audits at our location so you don’t have to be burdened with the hassles of state auditors. If our staff has made any mistakes, the penalties and interest are on us. We guarantee our work. See our Guarantee for details.

Maintain and Store Records: Road Manager stores trip sheets and all other appropriate records for five years.

Additional Service Options

Escrow Account for State Taxes: We can establish an escrow account to make it easier for our clients to pay and comply with state taxes and guidelines. We will provide your estimated taxes in time for you to get the funds together and cut one check to your escrow account. Road Manager will handle issuing the necessary checks to pay all state fees and taxes.

Ad Val Orem and Property Taxes: Arkansas, Kansas, and Kentucky require carriers traveling through their state to pay an annual property tax. We can handle the application and payment for you.

DOT Logbook Auditing: We utilize a logbook auditing system that checks a driver’s log for all basic DOT violations. Additionally, we will provide feedback on manual violations, such as items omitted or improperly completed on the driver’s log. Our system is also equipped to handle team violations.

Temporary Permits: We can order temporary and other permits as needed, so all of your trucks can easily keep running under legal guidelines while on the road.

Additional Services: Title application filings, 2290 filings, bond filings, reefer refund filings, FHWA and DOT registration, and other miscellaneous services that fall within the realm of fuel tax and compliance.
